What software do you use for your database, and how do you track your correspondence with customers?

I'm starting Gary Keller's systematic approach to lead generation with the 12 direct and 33 touch, but I'm not sure how to keep track of it all. Thanks for your input.

Simplicity is always best and when I first entered into the industry as a transaction coordinator I became familiar with Agent Office: http://www.realtystar.com/RealtyStoreUS/item211.htm

It is a very simple interface but it is surprisingly effective. In addition, it syncs with Outlook and Outlook syncs with my smart phone. So I have a triplicate back up of all my contacts.

Top Producer is a preferred vendor for KW. Top Producer has an option for KW agents. It does the touches from Gary K. automatically for you!!!!!
All you have to do is set the specific action plan that you want to a prospect email address and Top Producer will automatically send emails for you to your prospect and remind you when you have to call that prospect. The Keller Williams option in Top Producer is exactly what you are looking for if you are serious about following Gary's approach.
I pay about $130/month but as Hugo mentioned, they have a larger product base and I use most of them (Top Producer 8i, Top Producer website, Market Snapshot, Top Connector...).
The basic Top Producer 8i is the web application you need. Not sure about the price for this only, may be around $30 (check on their site).

Hugo is right; Outlook is great as mail software but is not designed for the real estate industry. It might be much cheaper but is not an option for your business needs anyway

Outlook is wonderful but it is limited because it is not desiged for real estate agents. You can research the cost of Top Producer on their website. If you are going to go with Top Producer my recommendation would be to start with the basic set up. They have added a slew of products over time which may confuse a novice. You always want a product that you'll actually use.

How much does a Top Producer subscription cost? Is it really worth it? I can see how I could get addicted like Ania!
Has anyone had success with a simple program such as Outlook (with business contact manager)?

The challenge I have with Top Producer and other like products is that it is subscription service. I am 'old-school' about having my database on my hard drive and not on someone elses.

I am a Keller Williams Select Realtors Agent. The education is phenominal! I use Top Producer, this program keeps all of your records, has letters, emails etc. It is like having your own assistant. Every mornig when I open the program it tells me what to do. Try it. You will be addicted.

I create my own tracking system, using spread sheets, creating file folders, calenders and etc. Some of these programs I dont have time figure out and etc.

I am cut and paste queen transfer of info. into format I use takes less than a second.

I use Office Access. I created my own custom database with my own coding system. I also have a set of emails that correspond to each code.
